The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, Board of Directors, and Executive Team and managing Air Protein’s office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. A successful candidate will perform administrative duties including scheduling and managing meetings, drafting internal communications, coordinating meeting and travel logistics, and managing reimbursements and other financial transactions for all executive leadership. This position is based in our headquarters in the San Francisco / Bay Area with a hybrid work arrangement (remote & onsite). Candidates must live in commuting distance to our headquarters. Duties and responsibilities include; 

  • Manage and coordinate the CEO’s calendar, respond to phone, e-mail, and personal inquiries, and ensure that all items of significance are appropriately reported, routed, delegated, and answered in a timely and comprehensive manner.
  • In coordination with other units, arrange complex travel logistics. Coordinate detailed itineraries, contacts, and times. Ensure that the CEO has all trip-related materials and documents and that the resulting assignment and/or information is recorded and distributed as appropriate.
  • Ownership of tracking meetings, events, and speaking engagements to determine the level of detail and background information required to effectively inform the CEO.
  • Manage the process of verifying and seeking reimbursement for expenses incurred by the CEO.
  • Assist with in-house meetings set up/clean up; provide backup support to front desk/reception.
  • Maintain the highest level of discretion and confidentiality concerning all matters relating to the CEO and the organization.
  • Special projects as assigned.
  • In addition to the above, other duties may be assigned.


  • Bachelor’s degree with or a master’s degree with one year of relevant experience. Relevant experience may be considered in lieu of a degree. 
  • 5+ years of experience working as an executive or administrative assistant for CEO, VP, C-Suite or other executive leadership.
  • The right person for this role will be a flexible, highly organized problem solver who thrives in a team environment. 
  • Excellent communication skills and ability to handle sensitive issues while maintaining confidentiality are required. 
  • Must have a proficient knowledge and experience of computer applications, including Microsoft Outlook, Excel, shared calendaring, and other collaborative applications. 
  • Experience managing calendar or calendar management. 
  • This role will be given to a candidate with experience working in an executive level setting and the ability to multitask, prioritize and work in a fast-paced environment with tight deadlines. 


  • Ability and willingness to work evenings and weekends as needed are also required. 
  • Demonstrated interpersonal skills and the ability to build and manage relationships is preferred.
